    Summary

    Works directly with the Senior Director – Team Travel with all areas of team travel, as well as acts as supervising all seasonal and hourly clubhouse employees, including the scheduling of clubhouse staff and bat boys for spring training and the championship season

    Responsibilities

    Essential Duties and Responsibilities include the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  Other duties may be assigned. 

    • Spring Training Season

      • Oversees and coordinates all catering for the Major League team during spring training including selecting the vendor, supervising the catering companies and the Clubhouse Assistant-Kitchen Manager, organizing the meal selections on a daily basis, paying invoices, ordering all beverages and snacks, and adhering to set budget guidelines.
      • Appointed as the Brewers representative to adhere to all MLB guidelines for the Maryvale package shipping and receiving tracking system. This position receives all packages for the Major League complex, encodes the package into the MLB approved arrival system, distributes the package to person of receipt and lastly, submits the tracking system report to Major League Baseball for their purview.
      • Corporate housing day of arrival contact of the Brewers. Verifies that all corporate housing rented for coaches and staff meets the high specification of the Team Travel Department prior to their arrival into Phoenix.  This includes a site visit to each property for inspection of cleanliness, working utilities including cable TV, internet, air conditioning/heating systems, and delivery of Brewers welcome basket and Spring Training arrival packet.
      • Assists in the coordination of all spring training ground transportation including mid-game mini coach, post-game bus, end of spring trucking company, etc.
      • Orders all pertinent clubhouse items such as locker name plates, as well as all toiletries for home clubhouse.
      • Responsible for all cash redeposit of excess daily per diems and check cashing (from Brewers spring training account) services between the Brewers and BMO Harris Bank.
      • Disburses all Maryvale credentials including All Access, Field and Concourse and Family credentials.
      • Direct contact between Baseball Operations and the Marketing/Investors for Investors & Sponsors Weekend. Ensures that all information is communicated with Maryvale and Milwaukee.
      • Coordinates with Community Relations/Brewers Community Foundation and players and staff for shipment and fulfillment of all autograph requests. This includes properly communicating the dates, needs and availability to all parties.
      • Creates and updates the Spring Training Players and Staff address and phone list and distributes to all relevant parties
      • Maintains the daily scheduling in concert with the Field Manager and distributes the relevant information via the team distribution phone app, as well as other methods.
      • Services the Clubhouse in areas such as laundry service, mail service, clubhouse floor availability and general upkeep. Will provide assistance when needed in areas such as the Visiting Clubhouse, Umpires Room and the Home Clubhouse.
      • Attends to special needs of the players and staff within the guidelines of all Milwaukee Brewers policies.

       

      Championship Season

      • Oversees and coordinates all catering for the Major League team during the regular season including selecting the vendors, supervising the catering companies and the Clubhouse Assistant-Kitchen Manager, organizing the meal selections on a daily basis, paying invoices, ordering all beverages and snacks, and adhering to set budget guidelines.
      • Primary contact for all Milwaukee Brewers departments for the ordering and inventory control of the beverage contracts between the Brewers and the contracted vendors, i.e. Pepsi, Gatorade, etc.
      • Orders all pertinent clubhouse items such as locker name plates, as well as all toiletries for home clubhouse.
      • Travel on some in-season trips to assist with the new Brewers luggage tracking system, special groups, projects, ownership, cities with large family contingents, etc.
      • Prepares and distributes to all relevant parties the daily communication for the Home Clubhouse and Brewers schedules. The daily communication will include all requirements of the Home and Visiting Clubhouses including player responsibilities, uniform or equipment needs and all other requests from non-Baseball Operations Departments.
      • Supervises the budgeting and scheduling for all hourly employees associated with the Home Clubhouse including bat boys.
      • Coordinates the entire traveling party luggage on the travel date from Milwaukee at the beginning of each road trip that coincides with the Brewers luggage tracking system.
      • Prepares all invoices for final signature to ensure that all Team Travel expenditures given to the Accounting Department for payment in an extremely timely manner.
      • Assists Community Relations with informing the Brewers players of the responsibilities each day regarding appearances, engagements or other matters.
      • Creates and maintains on a roster-move basis the Championship Season Players and Staff address and phone list and distributes to all relevant parties
      • Maintains the daily scheduling in concert with the Field Manager and distributes the relevant information via the team distribution phone app, as well as other methods. This includes sending out the daily lineup to all players and relevant staff.
      • Primary contact for organizational ordering of sponsor contracted beverages. Keeps updated records of product credit vs. spending by departments.
      • Services the Clubhouse in areas such as laundry service, mail service, clubhouse floor availability and general upkeep. Will provide assistance when needed in areas such as the Visiting Clubhouse, Umpires Room and the Home Clubhouse.
      • Attends to special needs of the players and staff within the guidelines of all Milwaukee Brewers policies.

       

      Off-Season

      • Oversees the writing and production of the following Milwaukee Brewers written materials to be distributed in spring and during the championship season:
        • Spring Training Player/Staff Packet
        • Championship Season Player/Staff Clubhouse Guide
        • Road City Information Cards
        • Brewers Team Rules Binder
        • Brewers Manager’s Rules
      • Creation and execution of the new Brewers luggage tracking system including working with vendors for applicable software building as well as implanting barcode management interface into the Team Travel tracking system.
      • Handles all Maryvale Baseball Park credentialing including the creation for All Access, Field and Concourse and Family passes.
      • Creates and maintains the Spring Training truck manifest to/from Milwaukee and Phoenix, including receiving all Milwaukee-based personal and office items to be shipped.
      • Works with Manager-Equipment Inventory on the preparation of all team equipment to be transported on Spring Training truck.
      • Maintains role as second auditor on all equipment inventory tracking system for year-end compilation report to the Brewers financial department.
      • Assists the Team Travel Department in housing requirements for coaches, staff and Baseball Operations front office.
      • Cross checks all Manager-Equipment Inventory orders for upcoming season upon items arrival into Milwaukee.
      • Adds Community Relations/Brewers Community Foundation on Winter Warmup autograph transportation, facilitation and collection.

       

      Post-Season

      • Serve as the postseason coordinator for all player, staff, and front office families traveling on the Milwaukee Brewers team charter.
      • Assist Team Travel Department with the entire organization’s postseason ticket requests, accounting, and disbursement.
      • Advance for the Milwaukee Brewers as the pre-arrival on-site coordinator for the team hotel (as the postseason schedule allowed).
      • On-site representative for all team sponsored hospitality events.
      • Liaison between the Milwaukee Brewers and the host team ticket office to accommodate the Brewers ticket requests as the visiting club.
      • On-site coordinator for team and family travel coordination between the stadium and the hotel.
      • Direct contact for the Milwaukee Brewers security detail and the Major League Baseball Resident Security Agents/host city’s stadium operations and police department.
      • Coordinate the disbursement and maintenance of post season team credentials for family members.

    Qualifications

    Education and/or Experience

    Bachelor's degree (B. A.) from four-year college or university; or 3 - 5 years related experience and/or training; or equivalent combination of education and experience.

     

    Computer Skills  

    To perform the job successfully, an individual should have knowledge of Microsoft office software including Word, Excel, PowerPoint, Access, Outlook, and Internet Explorer.    

    Language Skills                                             

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

     

    Mathematical Skills                                                     

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

     

    Reasoning Ability      

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Work Hours                                                     

    Business hours are Monday – Friday 9 am – 5pm, however, additional hours may be required on weekends, evenings and some holidays.
