Overview

Primarily responsible for providing oversight for the Club's and other entities’ disbursement activities, including the accounts payable and payroll processes.  This position will also oversee all tax filing, including the required Federal, State and local taxes as due, from both a sales and payroll tax perspective.  In addition, this position will work to develop an environment of continuous improvement, and will work throughout the company to implement new innovations that will enhance the existing payment processes.  Finally, this position will be responsible for creating and documenting all payroll and disbursement policies and will work with department heads to ensure the policies and processes continue to meet their diverse needs.

  • Oversee Club’s accounts payable process, ensuring all appropriately approved payments are made on a timely fashion. Establish a process to ensure all vendors have appropriate payment terms to maximize cash flow to the club or to take advantage of discounts when available.
  • Develop and maintain a travel and entertainment policy, designed to ensure all travel needs are being addressed, while at the same time maintaining fiscal prudence for the Club and ensuring all tax reporting requirements are being met.
  • Ensure all sales taxes are reported and paid to the proper jurisdictions on a timely and accurate basis.
  • Ensure all year-end tax reporting is provided to the appropriate vendors and the IRS.
  • Oversee all processing the Club's full-time, part-time, event staff and player payrolls. Ensure all payrolls are processed in an accurate and timely manner.
  • Ensure all payroll tax filings are made in an accurate and timely manner, including monthly, quarterly and annual filing requirements with federal, state, and local jurisdictions as appropriate.
  • Oversee the operation of the automated time and attendance systems as to facilitate the processing of part-time and event staff employee hours in an accurate and timely fashion. Ensure all new users and supervisors are appropriately trained to use the system.
  • Assist in the monthly close process, ensuring all payable and payroll accounts are reconciled within the established close schedule.
  • Assist with the annual budgeting process as needed. Specifically ensuring compensation budgets are prepared to reflect all changes approved during the budgeting process.
  • Assist with all audits, including the annual financial and Revenue Sharing audits. Oversee annual audits of the Club's 401(k) and pension plans.  Prepare pension calculations on an as needed basis.
  • Maintain company policies to ensure compliance with government regulations affecting accounts payable or payroll processing procedures.
  • Establish an environment of continuous improvement. Determine work procedures, prepare work schedules, and expedite workflow.  Study and standardize procedures to improve efficiency of Club supervisors.
  • Provide reporting as needed to meet the needs of all internal customers.

Supervisory Responsibilities Manage three FT employees who directly process accounts payable and payroll for the Club and other entities. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience

Bachelor's degree (B. A.) from four-year college or university; and minimum of five years related accounting and payroll experience and/or training; or equivalent combination of education and experience.

 

Computer Skills  

To perform this job successfully, an individual must have familiarity with Excel and Microsoft Word.  Prior experience with Workday is preferred. 

 

Other Skills and Abilities                                           

Ability to work effectively with highly confidential information is required.  Prior management experience and Professional Certification preferred.

 

Language Skills                                             

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Mathematical Skills                                                   

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.  Ability to apply concepts of basic algebra.

 

Reasoning Ability      

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this Job, the employee is regularly exposed to outside weather conditions, which may include heat, cold and various forms of precipitation.

Work Hours                                                  

Business hours are Monday – Friday 9 am – 5pm, however, additional hours may be required on weekends, evenings and some holidays.
